EBSuite's On-Demand CRM has added JAJAH telephony into its CRM applications. The new EBSuite integration allows customers to make or schedule JAJAH calls with one click. JAJAH’s service saves our customers up to 98% on their telephone calls and text messages. JAJAH works by calling each person’s phone, mobile or land based phones.

EBSuite released its specially designed site for Apple Inc.'s (AAPL) iPhone users to access their EBSuite account easily via the new mobile interface.

George Triantifillo, Director of Security for S3 described the application as: "Its perfect "I haven't used my computer since I got my iPhone. All my appointments, tasks, contacts, and cases are available on my iPhone. My staff and I are in sync in real-time."

EBSuite’s CRM application has a new specially designed mobile iPhone access site. Our users can access all their CRM information via our new mobile interface. It is optimized for the iPhone's screen size to work in any direction (vertical or horizontal). Each CRM feature has been redesigned for easy access to information from iPhone's touch screen. EBSuite’s CRM and iPhone is ideal to work from anywhere, any time: receive/send emails, files, call customers and complete tasks - in real-time.

Check out these new additions:
1. Your daily agenda can be automatically sent to your PDA or by Phone Text Message at a prescribed time each day.
2. Not only can multiple calendars be setup, but now you can color code each activity to quickly get the pulse on the day's/week/'s events.
3. You can ask your key contacts to update their own record information in the database, by "one click - Request Update"
4. You can allow your clients to view your calendar and request appointment times.
5. Tasks can now be delegated - to internal users and Outside Contacts.

Our new feature to merge duplicate contact records into one complete record:

Merge Duplicate Contact Records - Increase your database's integrity by eliminating duplicate contact records. Eliminating duplicate records is very important for users and manager. For users, all information about a particular contact in available in one record. For managers, a reports value may be compromised if too many duplicates exist in your database.

Identify Duplicates Before You Create a Record- EBSuite will automatically check to see if you are creating a duplicate contact or organization record. If you are it will either let you continue or show you the record and the owner of that record.

Merge All Your Contacts Information Into One Record- Our merge engine will automatically merge your contacts, Notes History, Sales Opportunities, Cases, Appointments, Tasks, Projects into one record.

How to Merge:- Use the Contact -> Search & Manage to identify duplicate records. Next, select each duplicate record by checking the check box, then click on the Update Value button. Next at the bottom of the page, click on the Merge Duplicate Records button and click "Yes" to confirm and merge the records together.

Microsoft Office and Word 2003 and above users may now read and write Word documents in native WordML (XML) format, use EBSuite compatible merge keywords to upload WordML document templates and have one click access to the merged document. Documents can then be sent individually or in mass by email or postal mail. Users may create form letters using keywords and their company's stantionary with letterhead, fonts and other formatting. This new feature enables users to save a complete history of all letters, documents and communications within each customers' record.

Adobe Acrobat Forms Integration


Users of Adobe Acrobat or other tools which produce PDF Forms (AcroForms), can now upload the PDF Forms into templates with one click access to create merged documents. This new feature enables industry and functional users, such as those working in real estate, human resources and tax preparation services, to significantly reduce the amount of time required for form preparation as well as automatically prepare a custom document ready for customer signature.

Offline Edition

With our Offline Edition，you can work on your key deals anywhere, anytime. Offline Edition uses the same browser-based interface as the online system. Use your Pocket PC or Palm OS 5.0 or later mobile device to view, edit, create, and delete organizations, contacts, opportunities, appointments and tasks with Offline Edition. You can easily update the online system with your change: save your changes to the data file in offline edition and then upload this file to the online system.

Getting Started

1, Installing JDK
Our Offline Edition works on Java Standard Edition (J2SE) platform. You need to install a Java SE Development Kit (JDK) version of at least 1.4, before you can use our Offline Edition. You can download or get a newer version of JDK from Sun site, http://java.sun.com/javase/downloads/index.html.

If you have installed a newer version of JDK, skip this step. In our exmaple we install the JDK to E:\j2sdk1.4.2_04.

2, Downloading Offline Client
To download the Offline Edition client,
A, Go to Account -> Setup -> Offline Edition -> Offline Client Download, click on CRM Offline Client Download. Our Offline Edition client is a zip file named “OfflineClient200606”. You can save this file anywhere you need. In our example, we save it to E:\ with name “OfflineClient.zip”.

3, Downloading Offline Data
To download the Offline Data file,
A, Go to Account -> Setup -> Offline Edition -> Offline Data Download.
B, Type a password for your data. Please keep it, because you need to enter this password when you import your data to the Offline Client.
C, Specify a list view that is used in the Offline Edition for each item. Please notice that, you can only view/edit the records in the list view you specified here in the Offline Edition.
D, Click Submite to start exporting data.
A reminder message displays on the left corner of the screen telling you the process of the data export. You can save the data file anywhere you need when the export is finished. In our exmaple, we save it to E:\.

Running Offline Edition
Run the Offline client by the following steps:
1, Configure the Web Server for our Offline Edition:
＊ Extract the Offline Client zip file to anywhere you need. (In our example, we extract it to E:\OfflineClient.).
＊ Copy a file named "tools.jar" from E:\j2sdk1.4.2_04\lib (the location where you installed your JDK) and paste to E:\OfflineClient\ext (the location you save your Offline Client extracted file).
2. Start the Web Server: Double click on the "start.bat" file under E:\OfflineClient.
3. Run the Offline Client:
＊ Open you web browser, type the following address Http://localhost/, click Enter
＊ Click Browse to locate the Offline Data file.
＊ Enter the password that you specified for the file before the data download.
＊ Click login
Then you will see the Organization Summary page that displays the view list you specified for organization before data export.

Working with Offline Edition
Offline Edition uses the same user interface as the online application. Using Offline Edition is nearly identical to using the online version. You can view, edit, create, and delete organizations, contacts, opportunities, appointments and tasks with Offline Edition. You can easily update the online system with your change: save your changes to the data file in offline edition and then upload this file to the online system.

Please click on the Save link in the upper right of the screen to the save new and modified offline records to the data file when you complete all the actions with the Offline Edition to ensure that you have the most current data in the file.

Enhancement in our Calendar/Task

New features in our Calendar and Task.


1, Mouse-over display

In our application, as you mouse-over each Appointment/Task record on Appointment/Task summary page, a text box will display the details information for you.

Go to Calendar -> Appointment to reach the Appointment Summary page. When you move the mouse over an appointment record (please wait for one or two seconds), the detail of that appointment record is displayed in a pop-up text box for you.

Go to Task -> Task to reach the Task Summary page. When you move the mouse over a case record, the detail of that task record is displayed in a pop-up text box for you.

2, Appointment & Task Snapshot

Right now, you can setup snapshot layout for both Appointment and Task.

To Setup Appointment Snapshot Layout, go to Account -> Setup -> Snapshot Layout -> Appointment. Select fields you want to displayed in the snapshot from the list in the *Field column. The text you entered in the textboxes under Prompt column will be displayed before the value of the field you have selected. For example, select field "Name" and enter "Appointment Name" in the corresponding textboxes, "Appointment Name: appointment with Mr. John for coffee sale " will be displayed in the snapshot for " appointment with Mr. John for coffee sale ".

Tp setup Task Snapshot Layout, go to Account -> Setup -> Snapshot Layout -> Task. Select fields you want to displayed in the snapshot from the list in the *Field column. The text you entered in the textboxes under Prompt column will be displayed before the value of the field you have selected. For example, select field "Name" and enter "Task Name" in the corresponding textboxes, "Task Name: exchange views on trade contract" will be displayed in the snapshot for " exchange views on trade contract ".

3, Pop-up Editor for Task

In our application, we now provide a pop-up editor for you to easily to configure each of your task records. You can modify your task records on their Edit pages, or use the pop-up editor by clicking on the button on a Task Detail page (Edit mode or Read-only mode).

4, On-screen Alerts & Reminders

As you know, our application delivers the alerts and reminders as a page link. New on-screen Alerts & Reminders section, we list more detailed information of most recent alerts and reminders.

All alert and reminder records will be displayed in the box in a rolling way. Click on the Reminder & Alert link or the ... link in the drop-down list to view all alert & reminder records in a pop-up window, where you can reach/delete each alert/reminder. Click on the drop-down button to view the top five records which are displayed as links. Click on each link you can reach the detail information of each alert/reminder in a pop-up window, on which the URL link of the related item (appointment, case etc) is displayed for you.

Scheduled Reports Engine

Our new feature allows you to send out scheduled reports, such as weely, monthly, yearly reports.

A scheduled report is based on a saved Report Builder definition (also called snapshot). This means that you need to define at least one Report Builder snapshot before you can use this new feature. Go to Tool -> Report Builder to define your report builder snapshot. For more information about Report Builder, please see flash tutorial: http://www.ebsuite.com/help/flash/0149ReportBuilder.htm

How to configure a scheduled report?

Go to Account -> Setup -> Background Workflow Engine -> Scheduled Reports. Click [Create New] button to create a new engine for sending scheduled reports. You will be led to the Scheduled Report Detail page where you can configure the information for the record.

Following is the steps to setup a scheduled report:
1. Give a name for the report.
2. (Optional step) Specify a description as additional information.
3. Specify a saved report builder for scheduled reports.
4. Specify the repeat pattern for send out this scheduled report. The minimum value is 7 days.
5. Enter the email address(es) to which your scheduled report will be sent.
6. Enter subject and content for your email.
7. (Optional step) Specify what will be displayed before your report by entering HTML code in the “report_html_before:” text box. Edit HTML code in “report_html_after:” to decide what will be displayed after the report.
8. Click the [Submit] button to save the report.

Then you will be led to Schedule Reports Summary page. Here you can disable/enable the record by checking/unchecking the “Enable” check box and edit each record by clicking the corresponding Name link.

The report will be sent out when you enable a scheduled report.

Select Search Result Records Across Pages

Select all search results with only ONE click - no need to go through every page to get the work done.


We added this new feature on Advanced Search Result page. Now, no matter you want to do batch delete, batch re-assign cases, batch add team member, or batch update a field value, you can select all records across page with only one click.

We will show you how to mass reassign cases as an example.

To mass reassign cases, you can take the following steps：

1. Just do a Case Advanced Search as before.
Go to Cases -> Search, specify criteria, and click on the [Search] button.

Then you will see that all of the matching records are displayed on the page (#of records displayed per page depending on your preference setup).

2. Select records you want to reassign.
You can select multiple records by selecting the checkbox before each record.

Left click your mouse on the Select All box will select all of the records on the current page. Then you can re-assign those cases and then you need go through all search result pages to view/select and re-assign the records.

Now, if you want all search results be selected, you can just right click on the Select All box on any search result page, which will select all of the search results across pages. A green text is displayed to remind you that you have selected all of the searched out records. Please notice that your select all action will be cancelled when you roll the pages.
